Reports to: Standing Committee, with day-to-day supervision provided by the Minister 

Job status: Part-time, 12 hours per week Sept 1–June 30; 5 hour per week July 1–Sept 1 

FLSA: Non-exempt (hourly) 

Pay Range: $15- 20/ hour

Job summary 

The Office Assistant provides a variety of administrative skills that support the day-to-day operation of the church, its members, the Minister, and other staff members. 

Essential functions 

  • Performs daily office activities. 
  • When your work is performed virtually or in a hybrid setting you must follow First Parish protocols and procedures outlined in the HR Manual and do so with your supervisor’s approval or by direction of the SC. 
  • Provides administrative and clerical support to members of the professional staff. 
  • Acts as receptionist for visitors and vendors entering the church. 
  • Screens phone calls seeking information or redirection; coordinates requests for church building use with the Building Use/Events Coordinator. 
  • Sorts mail, accepts deliveries, processes ministerial correspondence. 
  • Maintains master calendar of church programs with Building Use/Events Coordinator. 
  • Organizes and prepares weekly order of worship and Sunday Announcements. 
  • Organizes, prepares, and mails monthly Shooting Star (newsletter). 

Other responsibilities 

  • Maintains and publishes the directory of society members/friends; updates at least once a year. 
  • Updates and maintains central policies and procedures manuals and the bylaws. 
  • Updates designated bulletin boards and literature racks when requested. 
  • Writes personal thank you cards for non-pledge donations. 
  • Ensures that office equipment is kept in good working condition. 
  • Orders supplies for the church. 
  • Prepares materials for various church committees, as hours allow. 
  • Maintains First Parish reports, records and minutes. 
  • Supports church publicity efforts by disseminating notices to addresses received from volunteers. 
  • Notifies appropriate persons and obtain quotes for repairs from vendors as needed. Participates in staff meetings as needed. 
  • Updates the Congregational Business Manager weekly. 
  • In collaboration with the minister, other staff and congregants, supports the vision, mission, Unitarian Universalist principles, values and goals of the congregation in accordance with its governance structure.

  • The ability to effectively do your job in a virtual or hybrid setting. 

Qualifications 

  • Proficiency in computer skills, software, and email. 
  • Knowledge of church procedures, processes, and programs. 
  • One to two years of administrative business experience.
