Reports to: Standing Committee, with day-to-day supervision provided by the Minister 

Status: Part-time, On average 5 hours per week year round

FLSA: Non-exempt (hourly) 

Pay Range: $35/ hour

Job Summary 

In collaboration with the Minister, other staff, the Standing Committee, the Treasurer, the Collector, other committees and congregants, manages the administration of human and facilities resources and consults on financial matters of the congregation with a high degree of independence and fiscal responsibility.

Essential Functions: 

  • When your work is performed virtually or in a hybrid setting you must follow First Parish protocols and procedures outlined in the HR Manual and do so with your supervisor’s approval or by direction of the SC. 

Facilities: 

  • In coordination with the Building Use/Events Coordinator, negotiates and renews contracts and leases with renters and cell towers companies. 
  • In coordination with the House Management Committee, requests competitive bids for building and equipment maintenance and coordinates with contractors and service providers. 
  • In coordination with the House Management Committee, ensures all building inspections are current. 
  • Secures, tracks, and renews property and liability insurance policies for the congregation staff and properties. 
  • Advises the Standing Committee on insurance coverage changes. 
  • Contracts for the maintenance of office equipment. 
  • Determines most cost-effective and efficient contracts for phone, website and internet service and worship service video production equipment. 

Financial Consulting 

  • Serve in a consulting capacity to the Treasurer, Finance Committee, and Standing Committees in the development of the annual budget, and in addressing financial concerns that might arise 
  • Review the monthly financial data produced by the bookkeeper and consult with the Treasurer if issues are detected. 
  • Serve in a consulting capacity to the Board of Investment 
  • Seek out and advise the Standing Committee on potential cost savings. 
  • Ensures an independent financial audit and a worker’s compensation audit are carried out annually or more frequently, as needed. 

Human Resources (HR):

  • Keeps current on UUA financial directives, policies, and compensation issues as they apply to the First Parish staff and the congregation.
  • Ensures that staff receives annual performance reviews, HR policies are consistently applied across the staff, and all legal and administrative requirements are met.
  • Ensures accuracy of staff compensation, including taxes, benefits (dental, life, LTD, pension and health) and IRS forms.
  • Ensures status of all CORI personnel, professional staff, and volunteers are kept current.
  • Administers the Qualified Small Employer HRA program or the health insurance program, as appropriate.
  • Orients new employees regarding compensation, benefits, record keeping, building and equipment use and other necessary functions.
  • Ensures the currency and accuracy of all policies and procedures manuals and the bylaws.
  • Assures signatory authorities are kept up to date with each change in elected officers.
  • Manages the issuance and maintenance of debit cards for staff.

Other responsibilities: 

  • Participate in staff meetings as needed. 
  • Participate in Standing Committee meetings as needed as a non-voting member. 
  • Participate in other committee meetings as needed e.g., BOI, Canvass, Long Range Planning, and Finance sub-committee. 
  • Manage communication with the Historical District Commission, The Lions Club and other town and volunteer organizations that have business with the church. 
  • Submit monthly/quarterly/annual written reports to the Standing Committee.

  • In collaboration with the minister, other staff, and congregants, supports the vision, mission, Unitarian Universalist principles, values, and goals of the congregation in accordance with its governance structure.

Core Competencies: 

  • Works with a high degree of independence and fiscal responsibility. 
  • Has a background in financial management. 
  • The ability to effectively do your job in a virtual or hybrid setting. 
  • Works effectively with volunteer leaders and professional staff in the ongoing process of maintaining the church’s financial, administrative, and organizational health. 
  • Marshal resources (people, funding, material, support) to get things done. 

Qualifications: 

  • Ten years of managerial or significant professional employment. 
  • Experience working with lay leadership and a familiarity with the Unitarian Universalist tradition. 
  • Bachelor’s Degree, preferably in Business Administration. 
  • Proficient with Excel and other financial applications. 
  • Excellent interpersonal skills.
