Job Status: Contracted, 8 hours per week, year-round 

FLSA: Contractor

Pay Range: $20/ hour

Job summary: 

In collaboration with the Treasurer, the bookkeeper pays bills, runs payroll, issues reimbursements, records and tracks donations, maintains financial records, keeps accurate accounts, and produces financial reports for congregation members, staff, committees, and leadership. 

Job Responsibilities and Duties: 

  • Weekly: Enters contributions and rental payments to the appropriate fund (with counsel from the Treasurer when necessary) and makes the bank deposit. 
  • Weekly: Prepares pledge payment spreadsheet for the Collector. 
  • As needed: Issues donation acknowledgements for tax purposes to those making in memoriam, or other non-pledge contributions and coordinates with Office Assistant to be sure personal thank you cards are sent. 
  • Weekly: Ensures accuracy of billing and enters all invoices submitted for payment, acquires appropriate approval, issues checks, submits to Treasurer for approval and signature, and prepares for mailing. 
  • Monthly: Records debit card activity 
  • Monthly: Reconciles all bank and investment accounts and submits reconciliations to Treasurer for signature. 
  • Weekly: Oversees cash flow and makes recommendations for transfers as needed. 
  • Monthly: Prepares financial reports for the Treasurer 
  • As requested: Prepares financial reports for Finance Committee, Standing Committee, and individual ministry teams. 
  • As needed: Issue reimbursement checks to staff and volunteers 
  • Bi-weekly: Processes payroll on a bi-weekly basis, including creating accurate timecards. 
  • Monthly, quarterly, and annually: Prepares payroll tax forms, makes necessary deposits to federal and state, and prepares W‐2s and 1099s at year‐end. 
  • Annually: Prepares for and cooperates with those appointed to perform a yearly audit of financial records. 
  • Annually: Prepare year‐end financial reports for the Annual Report and State of Society Meeting. 
  • Perform other necessary and related work as may be assigned. 

Job Skills and Requirements 

  • A minimum of an Associate Degree in accounting from an accredited educational institution. 
  • Desirable to have experience with processing church payroll, including taxes and insurance. 
  • Practical experience in fund‐based accounting and account reconciliation. 
  • Demonstrated proficiency in computer skills including QuickBooks/Online and Excel. 
  • Attention to detail and precision in account reconciliation and report generation. 
  • A commitment to good interpersonal relationships, teamwork, and support of church ministries. 
  • A commitment to confidentiality regarding all account records of the church, staff, and the members. 
  • When your work is performed virtually or in a hybrid setting you must follow First Parish protocols and procedures outlined in the HR Manual and do so with your supervisor’s approval or by direction of the SC. 
  • The ability to effectively do your job in a virtual or hybrid setting. 
  • In collaboration with the minister, other staff and congregants, supports the vision, mission, Unitarian Universalist principles, values and goals of the congregation in accordance with its governance structure. 
  • Dependable.
